Time Management activities

The exercises/activities should be based on the personal time management and the team leader time management for their team. This is designed to support the usual outcomes for knowledge and assessment but will be a stand alone 1-day course.

The group is about 10 people, to date, who are middle managers with no formal training in leadership and management.

  1. Time management exercise
    We run time management courses and one of the most effective exercises is to get the team into 2 or 3 groups and ask for their ‘Top Ten Timewasters’ at work. These must be activities and not people! Once they have completed their lists swap them over and ask each group to find solutions for each timewaster on the list.

    You will probably find that many of the solutions are delegation, assertiveness (saying no/ not taking too much on) and effective use of meetings.

  2. time management tips
    Time Management is a bit like starting a diet – we all know what we should be doing but we will always find a reason not to do it or put it off until tomorrow. Try kickstarting the process by asking delegates to bring the contents of their in-tray with them and then show them how to prioritise them, date items (for dumping) and those for filing etc. You can then move on to photos of workspace and ask them to identify what items do not belong there. This will help to start them thinking about the amount of paper etc we keep and the time wasted looking for paperwork. Sensitivity needed here, some people are very attached to their 16 gonks!

    Trainers’ Library is a subscription site giving you unlimited access to modules, toolkits, articles and more. Time Management is just one subject area that it covers.

  4. All in a good days work
    I have a syndicate exercise that always goes down really well on my time management workshops. If you are incorporating the Urgency/Importance modle into your training session this Syndicate follows on nicely as they are given a number of things that happen to them the moment they walk in through the door and have to put them into the right box i.e High urgency low importance or low importance low urgency etc.. On the list are things like A colleague asks you if you would like a coffee – In two groups when they come back together the groups are often different in their responses which opens up a new disscussion.     Some of the applications has alarm option , but alarm and time tracking activities will work only if you switch tasks no more than few times a day.

    Recently, I found tool for time tracking, Its Replicon – http://www.replicon.com/olp/online-time-recording-software.aspx . It is designed to track and record every minute of our activity. It is designed to help managing our time in terms of project management.

    We can export our tasks and time data, sort by clients, staff or projects, and keep track of everything in the interface. The app also features reporting so we can compare tasks, projects, months or time spent at the click of a button.
